An evidence-to-action workbook for mapping organisational responsibilities, source records, gaps, owners and review priorities without a compliance score.
The direct answer
A POSH readiness review can map applicable responsibilities to current evidence, accountable owners and follow-up actions. This workbook supports that internal operating review but does not certify compliance, replace legal analysis or convert missing records into a legal conclusion.
Use with review. This editable resource is a structured starting point. It is not a government form, certification or guarantee of compliance. Confirm current law, applicability and internal approvals before adoption.

Purpose and application
What this toolkit covers
01
Purpose and intended users
The toolkit gives governance owners a structured way to record scope assumptions, map responsibilities to evidence, identify unresolved questions and assign follow-up. It is intended for organisational planning, not external certification or complaint management.
02
Evidence-to-action operating structure
Eight sheets cover instructions, organisation context, applicability, gaps and actions, evidence metadata, an implementation roadmap, review prompts and sources. Seventeen starter topics distinguish constitution, member details, employer duties, awareness and orientation, Committee reporting, Rule 14 content and employer reporting. Record the review scope and as-of date; keep version references separate from document dates. A not-applicable entry needs a reason and an actual reviewer.
03
Classify carefully
Use separate labels for Act requirement, Rules requirement, and recommended governance measure. Link each legal duty to the applicable provision and capture recommended controls as organisational choices. If applicability or interpretation is uncertain, record a legal-review question rather than marking a requirement met or not applicable.
04
Evidence quality and prioritisation
A document's existence does not establish that a process is effective or legally sufficient. The workbook can help identify missing, stale or unverified evidence and assign proportionate follow-up. Priorities are internal planning decisions; avoid formulas that imply statutory risk grades, legal outcomes or a universal compliance score.
05
Confidentiality and information boundaries
Record evidence references and custodians without copying complaint narratives, witness identities, inquiry findings or other sensitive case information into the workbook. Apply Section 16 restrictions to relevant records and control access based on purpose and role. The workbook is not a case repository or filing system.
06
Limitations and review
Applicability depends on the organisation, workplace structure and relevant law. The workbook is not a legal opinion, statutory checklist issued by government, certification or guarantee of compliance. Obtain qualified review for legal interpretation and revisit the source provisions when law or organisational facts change.
Keep the distinctions clear
Law, Rules and recommended controls
01
Act requirement
Check the applicable provision in the POSH Act and the organisation's facts.
02
Rules requirement
Check prescribed details in the POSH Rules and current applicable instructions.
03
Recommended control
Use internal trackers and review steps as governance support, not as universal statutory duties.
Review before adoption
Common implementation mistakes
Treating a completed tracker, percentage or status summary as a legal conclusion or compliance certification.
Marking a requirement not applicable without recording the organisational facts and review basis.
Copying complaint identities or inquiry records into a general evidence index instead of recording a restricted location reference.
Questions about this toolkit
Frequently asked questions
Does a completed tracker show the organisation is compliant?
No. It is an internal evidence and action aid. It neither determines legal compliance nor guarantees that recorded controls operate effectively.
What should be stored in the evidence register?
Use a document reference, owner, date and controlled location pointer. Do not duplicate sensitive complaint or inquiry material in this general workbook.
Confidentiality and data minimisation
Keep sensitive records appropriately controlled
These are blank organisational tools. Do not submit complaint narratives, identifiable inquiry records or witness information to PIH to complete them. Restrict internal access according to the information recorded. Section 16 of the POSH Act imposes specific confidentiality restrictions; the public Templates Library is not a complaint-management system or statutory filing portal.
